Advancement Associate

MSR seeks an Advancement Associate to support the goals of the Advancement Team, comprising of enrollment management, development, and marketing and communications to further the mission and reach of The Montessori School of Raleigh. The Advancement Associate is a member of the Advancement Team.

Status: Part-time (through January 17, 2022) then Full-time/Non-exempt
Classification: Administrator
Supervisor: Director of Advancement and Communications
Location: In-person at the Lead Mine Campus
Work Schedule: Begins part-time I 8 a.m. - 12 p.m. or 12 - 4 p.m. 
Full-time begins Jan. 18 I 8 a.m. - 4 p.m.

Essential Duties and Responsibilities:

  • Provide database support to enrollment, development, and marketing functions as noted below 
  • Assist with budgeting, invoicing, and billing across Advancement Team offices
  • Support event logistics including marketing, event registration, invitations, RSVPs, in-person elements, and follow-up communication
  • Assist with recruiting and managing volunteers including, but not limited to, admission parent ambassadors, Annual Fund volunteers, MPSA, and New Family Mentor program
  • Compile data to support preparation of enrollment management, fundraising, and other reports on key advancement metrics as directed
  • Support direct-mail fundraising, marketing, and recruitment efforts
  • Maintain office supplies for each Advancement Team office as directed by team leaders
  • Other duties as assigned by Head of School

Enrollment-specific duties

  • Maintain accurate prospective family records including contact information, application status, and enrollment status
  • Track payment of enrollment deposits
  • Draft and distribute enrollment-related correspondence
  • Schedule enrollment management events and track registration in Veracross (i.e. information sessions, coffee mornings), prospective family visits, and assessments as directed
  • Create and maintain prospective and new student files

Marketing-specific duties

  • Assist with website updates and review and report on website analytics as directed
  • Coordinate with the Director of Enrollment Management, Director of Annual Fund, Athletics Director, and Brier Creek Support Manager to manage promotional collateral 
  • Monitor and update MSR content on association websites and other online platforms (i.e. NAIS, AMS, GreatSchools.com, Niche.com, etc.)
  • Maintain hard copy and digital marketing collateral files

Development-specific duties

  • Database management including gift processing, entering donor contact reports, query-building, managing data integrity, and creating, managing, and tracking event registrations
  • Conduct research to increase MSR's alumni base

Competencies:

  • Bachelor's degree preferred
  • Committed to the mission and values of The Montessori School of Raleigh
  • Prior database experience; knowledge of Veracross a plus
  • Prior experience within education, higher education, or non-profit organizations a plus
  • Excellent written and verbal communications skills
  • Maintains confidentiality
  • Develops and maintains positive relationships with internal and external constituencies
  • Well organized, able to adapt and multitask
  • Fluency in Google Suite, Microsoft Office
  • Familiarity with Google Analytics and website editing a plus
  • Flexible team player with "can-do" attitude
  • Ability to work independently and collaborate in teams with a wide range of individuals

Physical Requirements and Work Environment:

  • Work in a fast-paced environment dealing with a wide variety of challenges, deadlines, and a varied and diverse array of contacts
  • Work primarily in a traditional climate-controlled office environment spending extended periods of time at a desk and working on a computer
  • Regularly sit, talk, hear, and interact with students, parents, employees, visitors
  • Occasionally lift up to 30 pounds
  • Regularly uses close and distance vision
  • Turn, bend, and reach
